Privacy policy
What we collect when you use ILMHUB.org and the ILMHUB Community forum, why we collect it, and what you can ask us to do with it.
Who we are
ILMHUB.org and the ILMHUB Community forum are run by ILM HUB LTD, a company registered in England and Wales (company number 13597185), registered office 10-11 Caer Street, Swansea SA1 3PP. We are the “data controller” for the personal information described here.

We collect as little as we can, we never sell it, and we use it only for the purposes below.
What we collect and why
Newsletter. If you sign up, we keep your email address, the date you signed up and confirmed, and the IP address you used, as a record of your consent. If you write something in the optional message box, we keep that too. We use this only to send you the ILMHUB monthly newsletter. Legal basis: your consent. You can unsubscribe at any time using the link in every email.
Community forum (community.ilmhub.org). When you create an account, we keep your username, your email address, your password (stored in scrambled form, never readable) and anything you choose to post or add to your profile. If you sign in with Google, Google tells us your name and email address; we do not receive your Google password. We also keep basic technical records such as your IP address, to protect the forum from spam and abuse. Legal basis: providing the forum you have asked to join, and our legitimate interest in keeping it safe.
Messages you send us. If you contact us, we keep your name, your email address and your message, so that we can reply. Legal basis: our legitimate interest in answering you.
Website analytics. We use Google Analytics and Microsoft Clarity to understand how the site is used, for example which pages are read and where visitors get stuck. They use cookies and collect information such as pages visited, device type, approximate location and, for Clarity, clicks and scrolling. We do not use this to identify you. Legal basis: your consent. These tools load only if you choose “Accept” in the cookie banner. You can change your choice at any time with “Cookie settings” at the bottom of every page.
Who else handles your information
We use a small number of trusted services to run the site:
- Hostinger — the server that hosts the website, the forum and the newsletter
- Amazon Web Services (Simple Email Service, London region) — sends our emails
- Google — sign-in (only if you choose it) and Analytics
- Microsoft — Clarity analytics
- hCaptcha — checks that sign-ups come from people, not bots
Some of these companies may process data outside the UK. Where they do, they use the safeguards required by UK law.
We never sell or rent your information, and we never share it for anyone else’s marketing.
How long we keep it
- Newsletter — until you unsubscribe. After that we keep only your email address on a “do not send” list, so that you are not emailed again.
- Forum account — while your account is open. If you ask us to delete it, we remove your personal details. Posts may stay, shown without your name, so that discussions still make sense.
- Messages to us — up to two years.
- Analytics — according to Google’s and Microsoft’s own retention settings.
Your rights
You can ask us to see, correct or delete the information we hold about you, to stop using it, or to give you a copy. Email salam@ilmhub.org and we will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
If we change this policy, we will update the date at the bottom of this page.
